Quotes with an expiry date and a clear status
Write a quote with its lines, tax and expiry date, and download it as a PDF for the customer. When the customer accepts, turn it into a draft invoice with the same lines in one step.

Sales orders
Sales orders that turn into invoices
Record a customer order with quantity, unit, price and tax on each line, plus a cost centre and a profit centre. Each order is numbered when you create it. Confirm it and mark it fulfilled; one more step turns it into an issued invoice. Until it is fulfilled, you can cancel it with a reason.

Invoices
Issue an invoice and the ledger is already up to date
Change the lines as often as you need while the invoice is a draft. Issuing it assigns the next number in your series and posts the receivable, the revenue and the VAT in the same step.
- Statuses: draft, issued, partial, paid, overdue, credited and void
- Totals above the list: invoiced, outstanding per currency, paid this month and overdue
- Foreign-currency invoices show their total in your company currency, with the rate and its date
Customer-ready PDFs in your company's language
Every invoice and quote downloads as a PDF with your company details. It prints in your company's default language, which can be any of the 15 languages of Office Hero, from Macedonian, Albanian and Serbian in both scripts to German, French and Polish. All of a company's invoices and quotes use that one language.
Credit notes and voids
Correct an invoice without deleting anything
Raise a credit note against an issued invoice with a reason, or void the invoice: voiding posts reversing entries and a credit note, and both stay in the audit trail. Each invoice lists its credit notes, and you can also write a credit note on its own.

Recurring invoices
A wizard sets the customer, lines, cadence (weekly, monthly, quarterly, yearly or every set number of days), dates and payment terms. Due invoices are generated every night and can be issued automatically.
Your own numbering
Prefix and suffix with year and month tokens, padding, the starting number and a yearly, monthly or no reset, with a preview of the next five numbers.
E-mail a summary
Send the customer the invoice number, total, due date and your message from the invoice, with their address filled in.
The e-mail carries a summary only: the PDF is not attached, so download it if the customer needs the file.
Attachments
Keep the purchase order, proof of delivery or contract with the invoice. Uploads are virus-scanned and stay with the invoice, not in the PDF.
Any active currency
Invoice in any currency you have switched on. An invoice priced at an old exchange rate carries a stale-rate badge.
Customer records
VAT number, address, payment terms, currency, group and salesperson in one record, with saved filters and a merge tool for duplicates.
Search and export
Ctrl/Cmd-K finds customers, products, invoices and credit notes from any page, and lists export the rows you select to CSV.
Invoices in Office Hero Connect
Customers who sign in to Office Hero Connect see their outstanding balance and most recent invoices.
The full invoice list and monthly statements are enabled on request, and invoice PDFs are not shown in the portal.

In which language are invoice PDFs printed?
In your company's language, which can be any of the 15 languages of Office Hero, including Macedonian, Albanian, Serbian (Latin and Cyrillic), Croatian, Bosnian, Slovenian, Bulgarian and Romanian. All of a company's invoices and quotes print in that one language; to change it, contact us.
Can I change an invoice after it is issued?
Not directly, because an issued invoice is part of the ledger. Raise a credit note against it or void it; both keep the original on record. Drafts can be changed freely.
How are invoice numbers assigned?
Issuing takes the next number in your series. Two invoices issued at the same moment never share a number, and a failed issue gives its number back, so the series has no gaps. You set the prefix, suffix, padding, starting number and reset in the numbering settings.
Can I e-mail an invoice from Finance Hero?
You can send the customer an e-mail with the invoice number, total, due date and your message. The PDF is not attached: download it from the invoice and send it yourself if the customer needs the file.
Can Finance Hero bill a customer every month?
Yes. A recurring schedule creates the invoice each time it falls due and can issue it automatically; generated invoices are not e-mailed. You can pause, resume or end a schedule at any time.
Can I invoice in euros when my books are kept in denars?
Yes. The invoice shows its total in denars with the rate and its date, from the daily rate list of the National Bank of the Republic of North Macedonia. At month-end, the revaluation run restates open invoices at the period-end rate.
Does Finance Hero send invoices to the tax authority?
No. Finance Hero does not send invoices to a tax authority's system, such as e-Faktura in North Macedonia, SEF in Serbia, eRačun in Croatia or CIS in Albania, and it does not register invoices or receipts on a fiscal device. Where your country requires this, keep your current provider for it alongside Finance Hero.
Is invoicing included in every package?
Quotes, invoices and credit notes are in both packages: Essentials at €29 per company per month with 3 users, and Professional at €59 with 10 users. Sales orders come with Professional. Prices exclude VAT.
