Pay transparency

Pay transparency software for Directive (EU) 2023/970

HR Hero calculates your gender pay gap, breaks it down by quartile pay band and opens a joint pay assessment when the gap passes 5%. It turns the year's figures into a PDF report and keeps pay ranges and regulators' requests in the same place.

Part of HR Hero Professional, at €4.90 per employee per month. Its figures come from pay runs in HR Hero, which today cover employees in North Macedonia, Albania and the United Kingdom only.

Mean and median gap for the period, with the quartile breakdown below.

01How it works

From the pay-gap figures to the evidence pack

Gender pay gap

Mean and median gap, with a snapshot every month

Choose a period, and HR Hero computes the mean and median gender pay gap with the sample size, using each employee's gross pay in their latest pay run of the period. Pay is compared as recorded, without converting it to annual or hourly pay or between currencies. A snapshot of the last 12 months is also taken on the 1st of every month.

  • A 95% confidence interval shows how reliable the mean gap is
  • Without a comparable group, the gap is marked as not reportable
  • Every snapshot is kept, so you can follow the trend

Quartile pay bands

Who sits in each quartile pay band

HR Hero splits your workforce into four equal groups by pay, from the lowest to the highest paid, and shows the share of women and men in each group and the gap inside it. The share of women and men per quartile is one of the figures the directive asks employers to report.

  • Mean gap, median gap and sample size for each quartile
  • A chart of the gender mix in every quartile

Joint pay assessments

A joint pay assessment opens when the gap passes 5%

When a snapshot shows a gap above 5%, HR Hero opens a joint pay assessment for it, and you can open one by hand as well. Appoint the employee representative, follow the days left until the deadline and mark the assessment complete when it is done.

  • States: open, in progress, completed and closed
  • Overdue assessments show how many days late they are

Annual report

The annual report, ready as a PDF

Compute a snapshot for the calendar year on the pay-gap screen, then build the year's report from it, check the draft and finalise it into a PDF to download.

  • Mean and median gap, employees counted and joint pay assessments in the year
  • Draft and finalised reports stay in one list

Records and evidence

Pay ranges and regulators' requests

Keep a register of pay ranges per role, with the currency, lower and upper bound, employer size and effective date, for the pay information applicants are entitled to. Log each request from a regulator, generate a PDF evidence pack with your headline figures and mark the request delivered.

  • Search the pay ranges by role
  • Each pack carries your latest mean and median gap

02Also included

03

Where the figures come from

HR Hero calculates every pay-gap figure from the gross pay of the pay runs kept in HR Hero, not from employment contracts. Pay runs can be created only for employees in North Macedonia, Albania and the United Kingdom today, so employers in EU countries cannot load their pay data into HR Hero. Pay runs carry the base salary only, so variable pay such as bonuses is not covered, and there is no breakdown by category of workers. Requests for pay information under Article 7 are handled outside HR Hero.

Questions about pay transparency

Which pay data does HR Hero use?

The gross pay of the pay runs kept in HR Hero: for each employee, the latest run in the reporting period. Pay runs can be created today for employees in North Macedonia, Albania and the United Kingdom only, so talk to us before you plan your first report.

Which employers have to report their pay gap?

Under the directive, employers with 100 or more workers. Those with 250 or more report every year from 7 June 2027, those with 150 to 249 every three years from 7 June 2027, and those with 100 to 149 every three years from 7 June 2031. National laws can go further. Our guide to the directive has the details.

When does HR Hero open a joint pay assessment?

Whenever a snapshot shows an overall gap above 5%, so you can start looking early. Under the directive, an assessment becomes mandatory when the annual report shows a gap of at least 5% in a category of workers that you have neither justified with objective, gender-neutral criteria nor remedied within six months.

Can employees request pay information through Office Hero?

No. Requests under Article 7, the right of workers to information about their pay level and average pay levels, are answered outside HR Hero and Office Hero Connect, within the two months the directive allows.

We are based outside the EU. Does the directive apply to us?

It binds the EU member states and reaches employers through national law. A company in North Macedonia, Albania or Serbia is not covered directly, but its subsidiaries in EU countries are.
