Construction
Construction fleet software for vehicles, machines and crews
Fleet Hero, the fleet management app of Office Hero, puts your vans, trucks and trailers with their own trackers on a live map, records when they enter and leave each site you draw as a geozone, and reminds you when services and insurance fall due. Machines and tools go into an equipment register next to them, and HR Hero plans the crews' shifts and records their hours.
Fleet Hero from €10.80 per vehicle per month, with the SIM card and mobile data included. Maintenance and work orders are part of the Professional package. Prices exclude VAT.
01What Office Hero covers
Vehicles, machines and crews spread across sites
Each tile links to the feature page with the details and the limits.
Which vehicles are on which site
Draw geozones around sites, yards and suppliers. Every entry and exit is recorded and can raise an alert for the people you choose.
Vehicles moving at night or at weekends
An unauthorised-movement alert fires when a vehicle moves during hours you set, and a power-disconnected alert when its tracker loses the vehicle's power.
Machines and tools without a tracker
The equipment register keeps each item's number, category, status, purchase date and cost, and where it is kept. It is a register: nothing in it is shown on the map.
A mixed fleet in one registry
Cars, vans, trucks and trailers each get one page with their papers, service history, tracker and readings. Makes and models of cars, vans and trucks come from a built-in catalogue.
Engine hours and idling
The vehicle summary report gives each vehicle's engine hours, driving and idle time, distance and trips for any period, with a day-by-day view.
Repairs and services on time
Work orders with labour, parts and the garage, due on a date or at an odometer reading, with templates for repeat jobs and cost totals per vehicle.
Defects in one list
Record a defect with its category and severity, follow it until it is resolved, and see the open and critical defects at a glance.
Crews on the right shift
Plan each crew member's shifts in a weekly grid with start, end and role, and keep work-schedule patterns per country with weekly hours and working days.
Operator and safety certificates
Keep each worker's certificates with number, issuer and expiry date, and see which ones expire in the next 30 days.
02How it works
Vehicles, sites and crews, in detail
Three screens a construction company uses every week.
Vehicles and equipment
Every vehicle on its own page, every machine in the register
Vehicles with a tracker appear on the live map and in route history, with their papers, service history and readings on one page. Machines, tools and other equipment go into the equipment register, with a number, category, status, purchase date and cost, location and notes. The register does not place items on the map; a trailer that needs a live position is added as a vehicle with its own tracker.
- Equipment statuses: active, in repair, retired, sold and lost
- Your own equipment types, such as excavators, generators or scaffolding
- Vehicle groups per site or division, used by the map, reports, alerts and access
- CSV import of up to 500 vehicles at a time
Out-of-hours alerts
Know when a vehicle moves after the site has closed
Set the hours when your vehicles should stand still, such as outside working hours, and Fleet Hero raises an alert if one moves faster than the speed you set for longer than the time you set. Other alerts tell you when a tracker loses the vehicle's power or goes offline, or when a vehicle enters or leaves a site. Before you save a rule, it shows who will be told, in the app and by e-mail.
- Schedules: always, working hours, outside working hours or your own
- A tracker counts as offline after the number of minutes you allow
- Geozone entry and exit alerts for all sites or chosen ones
- Company quiet hours and a guard against floods of repeated alerts
Crews
Crews planned, hours recorded
HR Hero plans each week's shifts in a grid of people and days, with start and end times and a role. Workers clock in and out in Office Hero Connect from a browser, also on a phone, and see their shifts there. Those who also sign in to HR Hero keep a weekly timesheet for their manager to approve; it can be submitted for employees who work in North Macedonia, Albania, Germany or the United Kingdom, and each week is checked against that country's working-time rules.
- Work-schedule templates with weekly hours, working days and rotation
- Leave requests, balances and approvals
- Certificates with expiry dates and a list of those expiring soon
- Working-time rules for North Macedonia, Albania, Germany and the UK

04Questions
Questions from construction companies
Not answered here? Write to [email protected]. A person from our team in Skopje replies, Monday to Friday, 09:00–17:00 CET.
Can we see excavators and other machines on the map?
Only those with their own tracker. A machine fitted with a Teltonika tracker can be added to the vehicle registry under one of its vehicle types, such as truck or trailer, with its make and model typed in and its registration or an internal number as the plate. It then appears on the live map like any vehicle. Machines and tools without a tracker belong in the equipment register, which keeps their details but not their position.
Can we be told when a vehicle moves at night?
Yes. Create an unauthorised-movement alert, choose the hours it watches, such as outside working hours, and set the speed and the time that count as moving. It notifies the colleagues you choose in the app and by e-mail. A separate alert tells you when a tracker loses the vehicle's power.
Do you record engine hours?
Yes. The vehicle summary report adds up each vehicle's engine hours, driving time, idle time and distance for any period, with a day-by-day breakdown, and lists the engine's own hour counter separately where the tracker reports it. Services in Fleet Hero fall due on a date or at an odometer reading, not on engine hours.
Can workers clock in from a construction site?
Yes. Workers clock in and out in Office Hero Connect from any browser, including on a phone, and see their shifts there. The clock-in records the time; it does not check where the worker is.
Can we see costs per site or project?
In Finance Hero, purchase orders, sales orders, budgets and expense reports can carry a cost centre for each site or project, and the cost-centre report shows how costs are allocated. In Fleet Hero, maintenance costs add up per vehicle, category or garage for any period. Orders, budgets and fixed assets are part of Finance Hero Professional, at €59 per company per month.
Can we keep track of operators' certificates?
Yes. HR Hero keeps each worker's certifications with the number, the issuer and the issue and expiry dates, and lists those that expire soon so you can plan renewals. It does not send reminders about them on its own. Certifications are part of HR Hero Professional, at €4.90 per employee per month.
