These Terms and Conditions (“Terms”) govern your use of the Office Hero platform, including the website at officehero.io, the web application, mobile applications, and all associated services (collectively, the “Service”). By accessing or using our Service, you agree to be bound by these Terms.

1. Definitions

  • “Platform” refers to the Office Hero ERP management system, including Fleet Manager, HR Manager, Finance Manager, ISP Manager, and Building Manager modules.
  • “User” refers to any individual who accesses the Platform.
  • “Company” or “Tenant” refers to the organization that has subscribed to the Service.
  • “Content” refers to all data, text, files, and materials uploaded or created within the Platform.

2. Account Registration

To use the Service, you must create an account with accurate and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account. You must immediately notify us of any unauthorized use.

3. Acceptable Use

You agree to use the Service only for lawful purposes. You shall not:

  • Violate any applicable laws or regulations
  • Attempt to gain unauthorized access to other users’ data or tenant schemas
  • Interfere with or disrupt the Service infrastructure
  • Reverse-engineer, decompile, or disassemble any part of the Service
  • Use the Service to transmit malicious code or conduct cyberattacks
  • Share your login credentials with unauthorized third parties
  • Use GPS tracking features in violation of employee privacy laws

4. Service Modules

Office Hero provides modular services. Your access to specific modules depends on your subscription plan:

  • Fleet Manager: Vehicle tracking, maintenance, fuel management, geofencing, alerts, reports
  • HR Manager: Employee management, attendance, payroll (coming soon)
  • Finance Manager: Invoicing, payments, accounting (coming soon)
  • ISP Manager: Internet service provider tools (planned)
  • Building Manager: Property and facility management (planned)

5. GPS Tracking & Privacy Compliance

If you use our Fleet Manager GPS tracking features, you are responsible for:

  • Informing all drivers and employees that their vehicles are being tracked
  • Complying with local laws regarding employee monitoring and GPS tracking
  • Obtaining necessary consents for location data collection
  • Using tracking data only for legitimate fleet management purposes

6. Data Ownership & Tenant Isolation

You retain full ownership of all Content you upload to the Service. Your data is stored in an isolated database schema and is not accessible by other tenants. We will not access your data except as necessary to provide the Service, provide support at your request, or comply with legal obligations.

7. Service Availability

We strive to maintain 99.9% uptime but do not guarantee uninterrupted access. We may perform scheduled maintenance with advance notice. We are not liable for downtime caused by factors beyond our control.

8. Payment Terms

Subscription fees are billed according to your selected plan. All fees are non-refundable unless otherwise stated. We reserve the right to modify pricing with 30 days’ advance notice.

9. Intellectual Property

The Service, including its design, code, features, and documentation, is the intellectual property of Office Hero. Your subscription grants you a limited, non-exclusive, non-transferable license to use the Service during the subscription period.

10. Limitation of Liability

To the maximum extent permitted by law, Office Hero shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, loss of profits, or business interruption, arising from your use of the Service.

11. Termination

Either party may terminate the subscription with 30 days’ written notice. Upon termination, you may request an export of your data within 30 days. After this period, your data will be permanently deleted from our systems, including your tenant database schema.

12. Governing Law

These Terms are governed by the laws of the Republic of North Macedonia. Any disputes shall be resolved in the courts of Skopje, North Macedonia.

13. Changes to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect.
