Field service
Fleet software for field service companies and their technicians
Fleet Hero, the fleet management app of Office Hero, shows where each service van is, records every visit to a customer site you have drawn as a geozone, and reminds you when each van's service and insurance fall due. HR Hero plans the technicians' shifts and records their hours, and Office Hero Connect gives each technician a login for their schedule and leave.
Fleet Hero from €10.80 per vehicle per month with the SIM card and mobile data included, and HR Hero from €2.90 per employee per month. Prices exclude VAT.
01What Office Hero covers
Vans, visits and technicians
Each tile links to the feature page with the details and the limits.
Which technician is where
Search the live map by plate or driver, follow a van as it moves, and open its position in Google Maps, Apple Maps or OpenStreetMap.
Customers waiting for the technician
Send the customer a link to the van's live position that expires after 15 minutes, 1 hour, 24 hours or 7 days.
When a van reached a site
Make regular customer sites geozones; each entry and exit is recorded with its time and can raise an alert.
Vans taken home in the evening
Pause recording for private use or book a private period in advance; positions are discarded as they arrive, and the distance is still counted.
How the vans are driven
Alerts for speeding above your limit, harsh braking, acceleration or cornering, and long idling, where the tracker reports them.
Vans out of service for repairs
Work orders due on a date or at an odometer reading, defects with their severity, and alerts before a service falls due.
Who works when
Plan each technician's shifts in a weekly grid with start, end and role.
Hours worked
Technicians clock in and out in Office Hero Connect. Those who also sign in to HR Hero keep a weekly timesheet that their manager approves.
Timesheets are kept in HR Hero, not in Office Hero Connect, and can be submitted only for employees who work in North Macedonia, Albania, Germany or the United Kingdom.
Qualifications that expire
Keep each technician's certifications with issuer and expiry date, and see which ones expire in the next 30 days.
02How it works
The map, the visits and the technicians' week, in detail
Three screens a service company uses every day.
Dispatch
See the technicians on the map, and let customers follow the van
The live map shows every service van with its status, driver and the age of its last position. Follow a van, replay where it has been today or open its position in a navigation app. When a customer wants to know where the technician is, send a live-location link that stops working on its own.
- Search by plate, driver or vehicle
- Vehicle groups per team or region, on the map and in reports
- Your own position on the map, if you let the browser share it
- Links that last 15 minutes, 1 hour, 24 hours or 7 days
Customer sites
Every visit to a customer site, recorded
Draw geozones around the sites you visit often, such as a client's plant or a block of flats you maintain. Fleet Hero checks every position against your zones and records each entry and exit with its time. The geozone activity report counts the entries and exits per zone for any period, and entry and exit alerts tell the people you choose when a van arrives or leaves.
- Polygon zones drawn on the map, with a name and a colour
- Alerts on entry or exit, for all zones or chosen ones
- Zones shown under the vehicles on the live map
- Trips with start, end, distance and duration for each van
Technicians
Shifts, hours and qualifications in HR Hero
Plan the week's shifts in a grid of technicians and days. Technicians clock in and out in Office Hero Connect from a browser, also on a phone, and see their shifts and leave there. Those who also sign in to HR Hero keep a weekly timesheet there for their manager to approve; it can be submitted for employees who work in North Macedonia, Albania, Germany or the UK. HR Hero also keeps leave balances and certifications with expiry dates.
- Leave approved or rejected in HR Hero, with the decision shown to the technician in Office Hero Connect
- Timesheets checked against the working-time rules of North Macedonia, Albania, Germany or the UK
- Certifications that expire in the next 30 days at a glance
- A training catalogue with sessions and budgets

04Questions
Questions from field service companies
Not answered here? Write to [email protected]. A person from our team in Skopje replies, Monday to Friday, 09:00–17:00 CET.
Can we send jobs to technicians in Office Hero?
No. Office Hero has no job scheduling or dispatch board for customer jobs, and the work orders in Fleet Hero are for servicing your own vehicles. Keep your current job tool alongside it; Office Hero covers the vans, the people and the invoicing.
Can we see how long a technician stayed at a customer's site?
Fleet Hero records the time a van entered and left each geozone, and entry and exit alerts show these times to the people you choose. The geozone activity report counts entries and exits per zone. Fleet Hero does not add up the time spent inside a zone.
Our technicians take their vans home. What do we see after work?
That is your decision. Someone with the privacy-pause permission can pause recording when the working day ends, or book a private period in advance, such as a weekend. While a van is paused, its positions are discarded as they arrive and never stored; the distance is still counted, so private kilometres can be accounted for. People with a separate permission can ask for a road route estimated across a finished private period, and it is always labelled as an estimate.
Do technicians need an app?
Not for tracking: the tracker in the van does that. For their own work, technicians get an Office Hero Connect login and use it in the browser on a phone or a computer to clock in, see their schedule, request leave and message the office. The Office Hero Connect app for phones is coming soon.
Which tracker suits a service van?
A Teltonika tracker. We help you choose between a plug-in OBD tracker, such as the FMC003, and a hardwired one. Trackers are sold from €65, with half paid in advance and half after installation, and installation starts at €49 per vehicle.
What does it cost for a fleet of service vans?
Fleet Hero starts at €10.80 per vehicle per month in the Essentials package, with the SIM card and mobile data included. Maintenance, work orders and the drivers' assignments calendar are part of Professional, at €14.80. HR Hero starts at €2.90 per employee per month; training and certifications are part of HR Hero Professional, at €4.90. Prices exclude VAT.
