Chat is built into Fleet Hero, HR Hero, Finance Hero and Office Hero Connect. Your staff, employees and drivers, and the customers and suppliers you invite, find each other in one contacts directory, so conversations with partners stay in the same place as the work.
01How it works
One chat across the office apps and the portal
Everyone with an Office Hero account can be reached, and each person sees only the contacts their account type allows.
Contacts
One directory for everyone with an account
The Contacts tab lists people in four sections: Staff, Employees, Drivers, and Customers & vendors. Each contact shows whether they read messages in the office apps or in Office Hero Connect, and people from outside your company are marked “External”.

Conversations
Direct messages and groups, with live updates in the office apps
Write to one person, or start a group with several people and a subject. In Fleet Hero, HR Hero and Finance Hero new messages appear without reloading, and writing to someone again reopens your existing conversation with them.
- Emoji reactions instead of one more message
- Starred messages, gathered on a Starred page
- A notice before people from outside your company join a group
- Older messages loaded on request, back to the start of the conversation
Safety
Report, block and moderate
Anyone can report a message, a person or a conversation, choosing one of 8 reasons, and block people they no longer want to hear from. Reports go to the Chat reports queue, which asks admins to review each one within 24 hours on business days.
- The conversation's context next to each report
- Dismiss, remove the message or warn the person
- A warning never says who made the report
- Removed messages show “Removed by an administrator” to everyone
- Terms of Use accepted before the first message, and again when they change
Office Hero Connect
Employees, customers and suppliers write from the portal
Portal users write to your staff from Office Hero Connect, and your team answers in the office apps. In the portal, an open conversation refreshes about every 15 seconds, and reporting and blocking work there too.

Answer with an emoji when a full reply is not needed.
Starred messages
Star a message and find it again on the Starred page.
Mute
Silence a conversation for 8 hours, 1 day, 1 week or until you turn it back on.
Block
Messages and mentions from a blocked person no longer reach you.
Encrypted at rest
New conversations are encrypted with your company's own key, so their text cannot be read from the database alone.
Follows your roles
Permissions decide who can read chat, who can start conversations and who reviews reports.

The chat interface follows each person's chosen language.
Chat in Office Hero Manager
Office Hero Manager adds photos, documents, voice messages, @mentions, replies and search in a conversation. It is coming soon to the App Store and Google Play.

Who can our staff chat with?
Anyone with an Office Hero account in your company: other staff, employees, drivers, and the customers and suppliers you have invited to Office Hero Connect. People appear in the contacts once they have an account.
Can customers see each other or our employees?
Not in their contacts. Customers and suppliers see only your staff there, and employees and drivers see staff, colleagues and drivers. A customer sees other customers, suppliers or employees only in a group conversation your staff create, and the chat warns your staff when a new group includes people from outside the company.
How are messages protected?
New conversations are encrypted at rest with your company's own key. Office Hero's servers decrypt messages to show them to the people in the conversation, and access follows each person's role. More on security.
What happens when someone reports a message?
The report goes to the Chat reports queue with the conversation's context. An admin dismisses it, removes the message or warns the person, and can add a note for the audit log. The person reported is never told who reported them.
Can we send photos and files?
In Fleet Hero, HR Hero and Finance Hero, chat is for text, with reactions and stars; in Office Hero Connect it is text only. Photos, documents and voice messages come with the Office Hero Manager app, which is coming soon to the app stores.
Where can people use chat?
Staff use it in Fleet Hero, HR Hero and Finance Hero; employees, customers and suppliers use it in Office Hero Connect. Office Hero Manager adds chat on the phone once it is released.
