Ledger and reports

General ledger and financial reports, up to date as you work

Finance Hero, the accounting app of Office Hero, posts a balanced journal for every invoice, bill, payment, expense claim, stock adjustment and depreciation run. Hard-close periods with a reason on record and export 9 financial reports.

Ledger, reports and VAT summaries are in both packages; period close and year-end come with Professional.

The trial balance shows at once whether debits and credits balance.

01How it works

Books that post themselves, periods you control

Automatic posting

Every document posts its own journal

Issuing an invoice debits receivables and credits revenue and VAT. Approved bills, payments, expense claims, stock adjustments, depreciation runs and asset disposals post balanced journals in the same way, so nothing is keyed twice.

  • Voids and reversals post compensating entries; nothing is deleted
  • Each journal shows its source document, its status and its lines

Chart of accounts

Your chart of accounts and manual journals

Every company starts with a basic chart of accounts covering cash, receivables, inventory, payables, VAT, equity, retained earnings, revenue and expenses. Add your own accounts in the tree with type, category and parent, and post manual journals for accruals and corrections.

  • A manual journal cannot be saved until its debits equal its credits
  • Reverse any journal with a reason; the original stays, linked to its reversal
  • Cost centres and profit centres on sales orders, purchase orders, budgets and expense reports

Period close

Soft close, hard close and a one-step year-end

Generate monthly, quarterly and yearly periods for each calendar year. A soft close marks a period as closed and can be reopened with a reason; a hard close locks it, and every posting into it is refused. The year-end close posts one journal that moves revenue and expenses into retained earnings, then hard-closes every period of the year. Run it before you hard-close December.

  • Hard-closing and reopening both ask for a reason, kept in the audit trail
  • Every close and reopen is recorded with who did it and when

The year-end close gives correct amounts only when every document of the year is in your functional currency; with foreign-currency documents, close the year with a manual journal.

Financial reports

9 reports in your functional currency

Profit and loss, balance sheet, trial balance, cash flow, aged receivables, aged payables, sales by customer, expenses by category and cost-centre allocation, for any date range or as-of date. The trial balance says plainly whether debits and credits balance.

  • Every report downloads as CSV or PDF, and the trial balance as CSV or XLSX
  • Exports carry the currency, the as-of date and a totals row
  • A cash-flow statement by the direct or the indirect method

VAT summaries

VAT summaries to help you prepare the return

Build a VAT summary for a period from posted documents and review its box values. Summaries are available for North Macedonia (a DDV-04 summary), Albania, the United Kingdom, Germany, France and Spain, and every tax rate carries its jurisdiction and effective dates.

  • Simplified box sets that you check before filing
  • You file the return yourself, through your tax authority's own channel

Simplified summaries, not official forms; Finance Hero does not file returns with any tax authority.

02Also included

What else comes with the ledger

  • Audit trail

Who changed what and when, for every finance record, in a searchable log with date and category filters.

  • Roles for accountants

Ready-made Accountant and read-only External Accountant roles, plus limits on which records each person sees.

  • 30-day cash outlook

Expected money in, money out and net for the next 30 days, from open invoices and bills by due date.

  • Search from any page

Ctrl/Cmd-K finds customers, suppliers, products, invoices, bills and credit notes wherever you are.

  • Export any list

Select rows on 34 list screens and export them to CSV. Customer, supplier and product lists also keep saved filters.

  • Several companies

One sign-in for every company you work for, while each company keeps its own ledger and data.

03

What the VAT summary does not do

The VAT summaries are simplified box sets that help you prepare a return; they are not official forms. Finance Hero does not send returns to any tax authority, so check the figures and file the return yourself.

04FAQ

Questions about the ledger and reports

Not answered here? Write to [email protected]. A person from our team in Skopje replies, Monday to Friday, 09:00–17:00 CET.

Can our external accountant work in Finance Hero?

Yes. Invite them as a staff user with the External Accountant role, which gives read-only access to finance. An in-house accountant can have the Accountant role, which covers every finance permission.

Can we use our own chart of accounts?

Yes. Start from the basic chart and add the accounts that your national chart or your accountant requires, with codes, types, categories and parent accounts.

What is the difference between a soft close and a hard close?

A soft close marks the period as closed, with who closed it and when, and can be reopened with a reason. A hard close locks the period: every posting into it is refused, reversals included. The year-end close hard-closes every period of the year. Run it before you hard-close December yourself, because its closing journal is dated 31 December.

Can a posted journal be deleted?

No. You reverse it with a reason, which posts a mirror entry. The original stays in the journal list, linked to its reversal, so the audit trail stays complete.

How do we enter opening balances?

Post all opening balances, bank balances included, as one manual journal dated your start date. Then enter the same amount as each bank account's opening balance: Finance Hero uses it to work out the bank balance, but it does not post it to the ledger.

Does Finance Hero file our VAT return?

No. It builds a simplified VAT summary from your posted documents for North Macedonia, Albania, the United Kingdom, Germany, France and Spain. You check the figures and file the return yourself.

Which package includes period close?

The ledger, the 9 reports and VAT summaries are in both packages. Period close and the year-end close come with Professional, at €59 per company per month with 10 users. Prices exclude VAT.
