HR Hero · Onboarding
Employee onboarding with a checklist for everyone involved
Open an onboarding case in HR Hero for each new hire, with a start date, a manager, an HR partner and a task list built from your template. Each task can be marked for HR, IT, the manager or the new starter, and the new starter ticks off their own in Office Hero Connect.

01How it works
How onboarding works in HR Hero
Case queue
Every onboarding in one queue
The queue lists each new hire with their manager, template, start date, target end date, progress and state. Filter it to the cases you manage or to a state, from pending and in progress to completed or cancelled, and open any case to see where it stands.
- Progress shown for every case
- A filter for the cases you manage
- Cases started from a template or without one
Templates
Templates that write the task list for you
A template is a reusable list of tasks, each with a title, an optional description, a default role and a due date counted in days after the start. Every case gets its own copy of the tasks, so changing a template never rewrites a case in progress. Three ready-made templates in English come with HR Hero, for a standard hire, engineering and sales, and you add your own beside them in any language.
- Default roles: employee, HR, IT or manager
- Due dates such as 3 days after the start
- Templates you switch off without touching existing cases
Case workflow
From the first task to sign-off
Open a case with the employee, their manager, an optional HR partner, the start date and a template, or start without a template and add the tasks yourself. Start the case, mark tasks done or reopen them, add tasks as you go, and close it with a completion note, or cancel it with the reason.
- Tasks with a role and a due date
- A note on the case and on each completed task
- A target end date to aim for
For the new starter
A checklist the new hire ticks off in Office Hero Connect
New starters sign in to Office Hero Connect and see their onboarding: how many tasks are done, which tasks are theirs and which the team handles, and any due dates. They tick off their own tasks, and HR sees the progress in the case.
- Progress such as 3 of 8 tasks done
- Each task marked as theirs or the team's
- The due date of each task, where one is set

Cases without a template
Start a one-off onboarding and add only the tasks it needs.

04Questions
Questions about onboarding
Not answered here? Write to [email protected]. A person from our team in Skopje replies, Monday to Friday, 09:00–17:00 CET.
What is an onboarding case?
One new hire's onboarding: the employee, their manager and HR partner, the start date, a target end date and the task list. The case moves from pending to in progress to completed, or to cancelled.
Can we use different checklists for different roles?
Yes. Keep a template for each kind of role, such as drivers, office staff or managers, and pick it when you open the case. HR Hero does not choose the template from the position for you.
Does the new hire need an account?
To tick off their own tasks, yes. You create their Office Hero Connect login from their employee record, by e-mail invitation or with a temporary password they change at the first sign-in. Tasks for HR, IT and the manager work without it.
Are task owners reminded of their tasks?
No. HR Hero sends no reminders for onboarding tasks, by e-mail or in the app. HR, IT and the manager see their tasks in the case, the new starter sees theirs in Office Hero Connect, and the queue shows how far each case has come.
Can new starters fill in their own details?
Partly. In Office Hero Connect they set the phone number, language and time zone of their account and add the bank account for their salary. HR keeps the employee record in HR Hero, and HR Hero does not collect identity documents from new starters.
Does HR Hero handle offboarding too?
There is no offboarding checklist. When you end an employment, HR Hero records the date and reason, removes the person's Office Hero Connect access and withdraws their pending invitations.
Which package includes onboarding?
Onboarding is part of HR Hero Professional, at €4.90 per employee per month excluding VAT, together with recruitment, performance, training, whistleblowing and pay transparency.
